NSSD seeks applications for an Administrative Assistant to support the Field Intelligence Operations Division (FIOD).
This Administrative Assistant will be responsible for supporting the efficiency and effectiveness of the FIOD team by assuming and executing administrative and operations team support tasks and projects, coordinating with other Administrative Assistants within the Directorate and across the laboratory, and engaging with colleagues, partners, and directorate leadership in a positive, professional, and diplomatic manner.
The successful applicant must demonstrate the ability to operate with informed discretion as responsibilities may span both classified and unclassified spaces.
Major Duties/
Responsibilities:
Under direction of the FIOD Director and supervision of the Directorate's Administrative Services Coordinator (ASC), this position is responsible for performing a wide variety of support functions including:
Manage schedules and meetings of assigned FIOD employees by using Outlook Calendar, Teams, and other office management tools.
Assist in preparing and managing the FIOD team communications, including reports, meeting notes, presentations, and announcements.
Track, coordinate, and follow actions/responses for the FIOD to ensure timely completion.
Support and complete administrative projects, as part of the FIOD team.
Support development and maintenance of internal web, document storage and SharePoint sites for the FIOD.
Engage with team members to ensure timely, responsive engagement of the FIOD staff in matrixed activities.
Coordinate travel for assigned FIOD staff, including arrangements for transportation, lodging, and itineraries.
Basic
Qualifications:
A high school diploma and 5 years of relevant experience.
Preferred
Qualifications:
An associate degree or higher in secretarial sciences, business administration, or related field and/or applicable professional certification.
Proficiency in Microsoft Office Suite, Office 365, Adobe Acrobat, and other commonly used office applications.
Ability to maintain a consistent work schedule during business hours.
Motivated self-starter with the ability to work independently, take on new challenges and learn new skills or approaches.
Ability to operate well in a fast-paced environment, set priorities to accomplish multiple tasks within deadlines, and adapt to changing needs/priorities.
Demonstrate a high degree of expertise in office management and administration.
Expertise and previous experience in planning, scheduling, and coordinating workshops, and meetings.
Familiarity with project management principals, and the ability to effectively manage projects, from start to finish.
Excellent oral and written communication skills.
Experience with SAP, PAS, RES, ORNLBuy, ePLAN, SPPS, TRAVx, ePROP, FTMS, and UCAMS systems.
Q clearance with SCI:
This position requires the ability to obtain and maintain a Secret Compartmented Information (SCI) clearance from the Department of Energy.
As such, this position is a Workplace Substance Abuse (WSAP) testing designated position.
WSAP positions require passing a pre-placement drug test and participation in an ongoing random drug testing program.
In addition, due the SCI, you may also be subject to random polygraph testing.
This position will remain open for a minimum of 5 days after which it will close when a qualified candidate is identified and/or hired.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
