FS Bilingual Admin Assistant

Oak Ridge, TN Oak Ridge, TN Full-time Full-time $16 an hour $16 an hour 8 days ago 8 days ago 8 days ago SUMMARY OF RESPONSIBILITIES The Family Support Bilingual Administrative Assistant provides administrative support to the Family Support Director as well as being responsible for following the Family Support guidelines and the guidelines in the EVC Policy Manual.
Maintains a Bilingual case load with the ability to read, write, and speak fluent English and Spanish.
Effectively communicates with a diverse group of important external visitors, as well as internal contacts at all levels of the organization and efficiently interfaces with the Finance Office concerning Family Support for all counties served by the department.
ESSENTIAL FUNCTIONS Develops, sets up, and maintains a computer network on Family Support with data updates in various spreadsheets to include but not limited to:
Accurate tracking of individual and county totals for all counties served by the department.
Accurate tracking of Family Support Active participants as well as the FS waiting lists, each fiscal year, for all counties served by the department, and entering new applicants as they are referred throughout the year.
Compiles information needed to complete the monthly Family Support reports.
Attends and participates in all Family Support Quarterly meetings including District Council, Regional Coordinators, Local Council, and all monthly CAB meetings.
With the addition of scheduling, preparing, and distributing packets and taking minutes for the Local Council meetings.
Maintains confidential files, answers incoming phone calls, ability to copy, fax and scan documents, sorts, and files paperwork, and does mailings as necessary.
Maintains a neat and orderly administrative work area.
Ensures confidentiality regarding sensitive material including applicant's, employees, and individual's right to privacy and protected health information, following the Health Insurance Portability and Accountability Act (HIPAA).
Other duties as assigned by the Family Support Director, Vice President of Operations and President.
KNOWLEDGE AND SKILLS Proficiency with Microsoft Office (Excel, Word, and Outlook) and PDF Software.
Ability to read, write, and speak fluent English and Spanish.
Experience using browsers and a working knowledge of the Internet.
Ability to deal with people at a variety of levels, both internally and externally.
Excellent time management skills and the ability to prioritize and multitask.

Ability to work as a team as well as independently.
EDUCATIONAL AND WORK EXPERIENCE High School Diploma or GED required.
Associate Degree or higher is preferred.
One year of related experience working as an administrative assistant in a similar office setting preferred.
Experience in the field of intellectual and developmental disabilities or health services preferred.
REQUIRED LICENSES AND/OR CERTIFICATES Must be legally authorized to work in the US.
Valid TN driver's license in good standing.
Department of Intellectual and Developmental Disabilities (DIDD) designated online training and any other required training.
Emory Valley Center Orientation.
WORKING CONDITIONS The hours and weekly schedule are dictated by current tasks, standard is M - F with occasional evening and weekend hours as required.
Work will take place in office settings and community.
While performing the duties of the job, the employee travels by automobile, and is exposed to changing weather conditions.
May be exposed to various medical conditions, communicable diseases, and pest infestations.
