The Neutron Sciences Directorate (NScD) seeks to answer big science questions about the fundamental nature of materials at the atomic scale.
By answering big science questions, neutrons help spur innovations that improve our daily lives:
more powerful computers, more effective drugs, longer lasting batteries, and improved armor for the military.
We are seeking an administrative assistant who will provide support to the Neutron Technologies Engineering Section, in the Neutron Sciences Directorate at Oak Ridge National Laboratory (ORNL).
The selected candidate will perform a full range of office/administrative functions.
This assignment may require the candidate to:
Major Duties/
Responsibilities:
Manage information flow and communications.
Maintain a professional office atmosphere; greet and receive visitors (in person and over the phone) in a professional, courteous manner.
Schedule and maintain complex calendar(s) of appointments, meetings, and conferences, while determining scheduling priorities.
Coordinate visits, including coordinating travel according to ORNL guidelines, coordinating site access, and setting and managing agendas and seminars.
Assist the managers with the recruiting and hiring process, including coordination of interview schedules, site access and onboarding.
Coordinate and prepare domestic and international travel requests, including reservations, conference registration, transportation, and expense settlement according to ORNL guidelines.
Plan and coordinate on-site and off-site meetings, workshops, conferences, and related services.
Prepare and review a variety of written materials per company policy and guidelines.
Create requisitions and purchase orders based on appropriate ORNL guidelines.
Assure compliance with office procedures and guidelines.
Provide support to division office during absences of division administrative assistant.
Assist other administrative support staff as needed with support duties as assigned.
Assist with special projects and assignments as needed.
Ability to adapt and learn new equipment, computer systems, software programs, procedures, and/or work techniques.
Handle sensitive and personally identifiable information according to established procedures.
Exercise discretion with confidential matters.
Maintain a consistent, reliable work schedule during core hours to meet needs of staff.
Manage the acquisitions and subcontracts for the section.
Standard Group Administrative level functions.

Basic
Qualifications:
A high school diploma and a minimum of 2 years' experience.
A combination of education and experience may also be considered.
Candidates must have excellent interpersonal, communications skills (verbal and written) and the ability to interact diplomatically and tactfully with people at all levels, both within and outside the laboratory.
Demonstrate initiative and can work flexible work schedules to maintain consistent support during core hours.
Exhibit a willingness and ability to learn/perform various tasks as new assignments are delegated.
Administrative support requires proficiency in the following software systems:
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat and the ability to learn various ORNL internal business systems.

Qualifications:
Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
